Hipp Roofing's phone system uses an AI receptionist to capture inbound customer calls 24/7. At the end of each call, the system automatically sends a brief summary of the call (caller name, callback number, property address, and reason for the call) via SMS to authorized internal staff members — specifically, the company owner and lead manager — so that customers can be called back promptly.
These internal staff notifications are sent only to W-2 employees of Hipp Roofing LLC who have provided signed written consent, as a condition of their role, to receive work-related SMS notifications. Signed consent forms are maintained in Hipp Roofing's internal HR records. Staff recipients can opt out at any time by replying STOP, though doing so may impact their ability to perform job duties. Frequency of staff SMS notifications: under 30 messages per recipient per month.
Staff SMS notifications never include customer payment information, social security numbers, or other sensitive personal data — only the operational information needed to return the customer's call.
